We are a well-established, South Australian family-owned business seeking an experienced Administration Assistant to join our small, friendly team at our Para Hills West office on a full-time, permanent basis. Our administration department forms a key part of our service delivery.
About the Role:
The Administration Assistant will work across our administration and accounts teams and be responsible for processing of administrative documentation, email management, accounts receivables, customer service, sales administration support, operational administration support and general administration maintenance functions internally as required. As well, this role will assist the Finance Officer with accounts payable administration tasks such as reports, tracking and data support.
On a day-to-day basis, the work will include things like:
- Data entry, processing and reconciliation of contractor paperwork including external sub-contractor portals for bookings and general route summary maintenance
- Accounts receivable, invoicing, banking, payment processing, account enquiries and aged debtors
- Accounts payable support, data entry, invoice and statement reconciliations and other ad hoc requirements
- General administration and office support
- Manage incoming and outgoing correspondence in a timely manner
- Processing documentation accurately and efficiently
- Collect, process and present data and reports from various sources
- Dispute and complaint resolution
- Attend to inbound phone queries with a positive and polite phone manner
- Liaison with the Operations Manager to ensure field staff inductions and WHS requirements are current and compliant
- Provide high level customer service, taking bookings, providing quotes and assisting with enquiries
- Database management.
About you:
- Previous experience working in the waste industry or in a similar role
- Committed to achieving customer service of the highest standard
- Experience in data entry, invoicing, accounts payable/receivable and general administration
- Strong communication skills, both verbal and written
- Excellent data entry skills and an eye for detail
- Demonstrate the ability to be a quick learner in a fast paced and varied role
- Strong work ethic encompassing integrity, honesty and commitment
- Proficient in learning new internal programs and technology
- Be proactive and strive to upskill
- High level proficiency in Microsoft Office Suite, specifically Excel is essential
- The ability to prioritise with excellent time management
- Moderate to advanced Reckon Hosted Accounting capabilities or similar
- Knowledge of Wastedge is desirable however full training will be provided
- A basic understanding of HTML setup would be advantageous
- The ability to work towards KPI’s
- Strong analytical and problem-solving skills
- Demonstrated ability to be self-motivated and work unsupervised
- Ability to work in a close-knit team.
