About the Role:
We are seeking an organised, detail-oriented, and proactive individual to join our client’s HR team as an Administrative Support for HR. In this role, you will provide essential administrative assistance, helping to streamline HR operations and ensure smooth processes across various HR functions. This is an excellent opportunity to gain exposure to HR practices while contributing to the overall success of the department.
Key Responsibilities:
- Purchase Order (PO) Management: Create, review, and match purchase orders with invoices, and maintain records of purchase orders and approvals for audit purposes.
- Invoicing: Process and track invoices to ensure timely payment. Liaise with vendors and internal teams to address invoice queries.
- Order Placement: Place orders for office supplies, equipment, or services as required and monitor and ensure timely delivery of orders.
- Email Management: Draft, send, and follow up on correspondence on behalf of the HR team, Organise and prioritise incoming emails to ensure timely responses.
- General Administrative Support: Assist with scheduling meetings, preparing agendas, and taking minutes. Provide support for HR events, such as training sessions or onboarding activities.
- Communication and Coordination: Act as a point of contact between HR and vendors or other departments, and ensure effective communication to meet deadlines and resolve issues promptly.
Requirements:
- Proven recent experience in administrative support or HR-related roles
- Strong organisational and multitasking skills with attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to maintain confidentiality and handle sensitive information.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- A positive, can-do attitude with a proactive approach to problem-solving.
