About the role

The Administrative Assistant will provide high level administrative and professional support to the Education Development and Delivery EGM working closely and collaboratively with the Executive Assistant for Education EGMs. Key administrative duties include travel arrangements, reimbursements, meetings, filing, managing correspondence.

  • General administrative duties to support the operations of the Education Development and Delivery portfolio
  • Support the EGM and Committees in the absence of the Executive Assistant or during high peak times by providing executive support
  • Coordinate the monthly executive report the creation of other portfolio reports, presentations and correspondence to a high professional standard
  • Manage travel arrangements for the EGM and other senior staff including bookings, conference registration, airfares, accommodation and preparation of itineraries for Executive Staff and Councillors travel
  • Coordinate the timely processing of invoices and reimbursements
  • Management of the meeting room booking system including equipment ready for use
  • Provide a high level of customer service to internal and external stakeholders by dealing promptly with inquiries, email and correspondence, and coordinating ad hoc teleconferences

This role is a part time role 4 days per week and will be a 3 year contract.

Skills and experience  

  • Enjoy a team-based workplace that operates through collaboration

  • High level attention to detail with ability to think laterally
  • Strong verbal and written communication skills
  • Strong customer service focus
  • Proficient in Microsoft Office Suite applications (word, excel, powerpoint and teams)
  • Competent on databases, Adobe, Windows, Internet Explorer, Chrome
