We are looking for a superstar administrator to join our small, but formidable team. This is the perfect opportunity for a highly organised, super intuitive and awesome person. In this role, you will have a serious impact on ensuring that the disability community can access our boutique, premium disability rights legal service. You will be at the forefront of helping the disability rights lawyers within Equality Lawyers defend disability rights.

MAIN DUTIES/RESPONSIBILITIES:

  • Clerical duties including telephone attendance, calendar management, management of the online booking system and postal/mail duties.
  • File management including assembling new files, identifying and processing inactive files and recording documentation movements.
  • Maintain security of the file system.
  • Have a clear and practical understanding of the file management system and administration processes.
  • Provide clear and easy-to-understand information on the services offered by Equality Lawyers.
  • Follow up with client queries.
  • Identify trends in client requirements.
  • Preparation of office procedures, policies and manuals as required for the approval of the Principal Lawyer Director.
  • Preparation of simple correspondence.
  • Determine the presentation and format of documents.
  • Welcoming clients visiting the office and general hospitality attendance.
  • Preparation of invoices via the Practice Management System for the review of the Principal Lawyer Director.
  • Manage the diary of the Principal Lawyer Director.
  • Record minutes of meetings as required.
  • Provision of basic financial administration including recording expenses, issuing of approved invoices and liaising with the bookkeeper as required.
  • Maintain a clean and safe workspace and abide by workplace health and safety policies and procedures.
  • Prepare social media content, blogs and other basic written marketing material for Equality Lawyers.
  • Support the Principal Lawyer Director at offsite meetings, as required.
  • Other tasks as directed.

SKILLS & EXPERIENCE 

Qualifications (desirable):

  • Certificate in Business Administration or Legal Studies.

Experience:

Essential

  • Worked in a team
  • Flexible work arrangements

Desirable

  • Office administration duties
  • Experience working in a law firm or legal service

Essential Skills:

  • Advanced Microsoft Office (Word, Excel, PowerPoint and Outlook) and G-Suite (Google Drive and G-mail).
  • Excellent verbal and written communication.
  • Demonstrated skills with working with complex clients.
  • Working effectively with teams.
  • Highly organized and able to meet deadlines.
  • Demonstrated ability to work autonomously and to show initiative.
  • Demonstrated flexibility and adaptability.
