The Opportunity

Reporting to the Executive Leader Regulation, the Administration / Program Support Officer carries responsibility for a range of core and project administrative functions that support the five business units which make up Regulation. This role contributes to the business by ensuring Regulation leaders meet their administrative responsibilities.

The Position

The role will be responsible for delivering exceptional customer service and providing proactive, professional, high-quality and timely administrative and project / program support to the Executive Leader and Senior Leadership Team, as well as the entire Regulation Business Group.

Key responsibilities include:

  • Undertake proactive and effective calendar management for the Executive Leader.
  • Provide administrative support for Board, Board Sub-Committee and other Committee meetings.
  • Coordinate and draft various correspondence and presentations on behalf of the Executive Leader.
  • Develop, maintain and ensure effective, efficient and proactive processes are in place.
  • Actively lead the implementation of the Customer Relationship Management system as a Super User.
  • Lead the adherence and improvement of the Senior Leadership team’s operating rhythm.
  • Prepare purchase orders, process invoices, and reconcile credit card expenditure.
  • Monitor the Self-Insured Mailbox.
  • Lead the curation of all of knowledge management.
  • Undertake assigned project work, including creating and maintaining program and project schedules, project plans, budgets, scheduling meetings, record keeping, minutes, communications, research, and tracking of activities and milestones.
  • Support the development and maintenance of project procedures and templates.
  • Ongoing review of the internal and external websites.
  • Process Freedom of Information requests (as requested).

This role is offered as a full-time ongoing position.

About You

As the successful candidate you will be an energetic individual that can effectively communicate and engage with all levels of staff and stakeholders.  You will have experience supporting executive and / or management teams possessing strong organisational and administrative skills (preferably with experience in project administration / activities in cross-functional teams) and be proficient in the use of Microsoft Office Suite.

You will have demonstrated ability to prioritise, manage multiple tasks, work under pressure, meet deadlines, and work productively to contribute to the Regulation Business Group’s team goals, whilst aligning yourself with our organisational values.

Special Requirements / Conditions

  • Hold a relevant qualification in Business Administration or project management (Cert IV) or relevant demonstrated experience.
  • Experience using Salesforce and SharePoint (desirable).
  • Understanding of the State Records Act and its application (desirable).
  • On occasion there may be a requirement to work outside of ordinary hours.

The total remuneration package for this position will commence from $75,045 (exclusive of superannuation). The final offer will be commensurate with the successful candidate’s qualifications, skills and experiences.
